Move a document from paper to another person
Capture it legibly, identify the file, prepare the PDF and verify the receiving copy.
When this route helps
Document trouble often occurs between stages: a scan stays inside a note, an attachment is saved in an unexpected folder or a finished PDF is confused with its working copy. This route follows one document all the way through the handoff. It is suitable for an ordinary form or reference packet you are allowed to edit and share.
- 01
Capture and inspect the paper
Choose Notes or Files according to the destination. Check every edge, page and small field before saving. Prefer the issuer’s original digital file when one already exists and suits the task.
Scan a paper document into a PDF you can actually useBefore you move on: The PDF contains the complete, readable source pages in order.
- 02
Locate the real saved file
Name the provider and folder, then open the file from there. Distinguish Recents from a storage location and a placeholder from a completed download. Resolve duplicate names before editing.
Where did that file go? Read the location firstBefore you move on: You can point to the exact source and working copy.
- 03
Prepare the packet for the recipient
Assemble pages on a working copy, add only the needed annotations and inspect the saved output. Use actual redaction when that is required; a black annotation is not a secure removal of underlying text.
Build a clean PDF packet in Mac PreviewBefore you move on: The reopened deliverable has the intended pages, fields and visible information.
- 04
Verify the handoff, not just the progress bar
For a nearby device transfer, test a small item and identify where it arrives. Open the actual packet on the receiving side and confirm its version. Use the recipient’s requested upload or delivery channel when AirDrop is not the task.
Diagnose an AirDrop transfer without resetting everythingBefore you move on: The receiving person or device has a usable copy of the intended file.
Bring the steps together
For continuing collaboration, choose a shared folder with explicit permissions rather than repeatedly sending separate copies. Retain the source until the required handoff is confirmed.
